Water Billing Company Setup
Use Settings in the water workspace to configure the company before your team starts billing.
Open water settings
Section titled “Open water settings”- Sign in to EasyBill.
- Confirm you are in the water company workspace.
- Open Settings from the secondary navigation.
- Use the Settings sidebar or search to find each section.
Company and information
Section titled “Company and information”- Open Company.
- Review setup progress and company identity.
- Open Information.
- Review contact information and company details.
- Edit only the rows that need changes.
- Save each edited row.
Billing and payments
Section titled “Billing and payments”- Open Billing.
- Set the Pay bill number if your company uses one.
- Set the Billing cycle.
- Set the SMS sender ID only when your company has an approved sender name.
- Open Payments.
- Enable the payment methods your company accepts.
- Review validation rules for M-Pesa manual payments, cheques, and payment proof.
- Save the section.
Customer types and pricing
Section titled “Customer types and pricing”- In Billing, open Customer Types & Pricing.
- Add each customer category your company uses.
- Add the pricing details required by that category.
- Save the category.
- Repeat for each category.
Service zones
Section titled “Service zones”- In Billing, open Service Zones.
- Add each zone, route, region, estate, court, or service area your company uses.
- Use names your team already recognizes in the field.
- Save the zone.
Fixed monthly charges
Section titled “Fixed monthly charges”- In Billing, open Fixed Monthly Charges.
- Add meter rent or other fixed recurring charges your company bills.
- Confirm the amount and related meter size or charge label.
- Save the charge.
Notifications
Section titled “Notifications”- Open Notifications.
- Review the notification controls available for your company.
- Turn on only the customer notification channels your company actively uses.
- Confirm SMS Balance if your company sends SMS through EasyBill.
- Save changes.
Final setup check
Section titled “Final setup check”- Open Customers and confirm customer creation is available.
- Open Meters or Meter List and confirm meter creation is available.
- Open Bills and confirm bill records can be viewed.
- Open Money and confirm payment records can be viewed.
- Invite staff from Team only after the setup sections are correct.
